Assign a Delegate on Behalf of a Symplectic User

To assign a person as a delegate in Symplectic:

  • Login to Symplectic Elements
  • Select Impersonate another user at the top of the screen
  • Type in the name of the person who will need a delegate
  • Next go to the Menu tab, My Account and click on Manage Delegates
  • In the box, type in the name of the person in the who will become the delegate and click the Add delegate button.
  • This person can now claim or reject on behalf of the Symplectic Elements user. Send this link: Impersonate another user to the delegate for instructions.

Turn off searches

If Symplectic Elements users are in or move into a role where they will not publish OR a person is in the system but doesn't publish and Symplecitc is notifying you of pending publications, you can turn off the searches.

  1. Log in and go to Impersonate the user.
  2. You will need to first clear any pending publications from the profile (reject all). To do this go to the bottom of the page and click on Reset (clear) pending publications and identifiers and click OK.

  3. Next go to the Menu tab-My Account box-Data Source Search-Name-based search.
  4. Scroll down to Source-specific name-based search terms and uncheck all of the Search by name check boxes.
  5. Select Save at the bottom right of the page.

  6. There will be a message "Tracy Glauser has switched off searching of all online database." in the person's Menu tab-My Account Search-Name-based search terms.

    You will also see this message "You need to set up your search settings so Symplectic CCHMC Elements can find your scholarly outputs on the web" in the Home tab in My Actions.

How can I fix an Incorrect Author Name in Symplectic?

The names of authors in Symplectic Elements come from CHMC’s PeopleSoft Human Resource data. Information such as First name, Last name, Department etc. are used to create the author’s profile name. If the author has an alias in the HR system that is different from the author’s legal first name, Symplectic will display the alias e.g. the author’s legal name is Marion but she goes by Judy (this is her alias).

If the author uses an alias and it is not in Symplectic Elements make sure to update author’s alias information through MyHub (see instructions, login and click on 'Go to: Update My Contact Information' to make your corrections).

Symplectic will be updated when the next HR file is available.

Automatic Claiming

This new section, Automatic claiming (named Automatic publication claiming when the option is clicked), allows the user to give Symplectic Elements information to help identify user’s publications and automatically claim them.

  • Profile IDs- Click on the publication number to see items pending, claimed, rejected or other to see these items in the user’s Symplectic profile. Click on the ID number to see the profile and verify in the data source (e.g. Scopus).
  • Email addresses-Click on the publication number to see items pending, claimed, rejected or other already in the user’s Symplectic profile.
    • Yes if it is correct-item moves to Me section
    • No if it is incorrect-item moves to Not Me tab
    • Ignore if not sure-item move to Ignored tab
  • Me tab – This section is where the user can see profile IDs identified as them and a place to add new profile IDs:
    • Add External profiles – Option to add new profile IDs (arXIV, Scopus ID,  SSRN Author ID).
    • External profiles – Lists all profile IDs associated with user’s name in Symplectic Elements.
    • Add email addresses – Option to add other affiliations e.g. University of Cincinnati. Faculty are encouraged to do this since the 2018 UC mandate (publications can only be counted on a user’s CV if declared UC as the user’s affiliate institution) for faculty publications.
    • Email addresses – Lists all emails associated with the user that have been positively identified (set up in Symplectic and added by the user in the section above).
  • Not me tab – Keeps a list of profile IDs  and emails that are rejected.
  • Ignored tab – Keeps a list of profile IDs and emails that are being ignored.

Pull a Pending Report in Symplectic

Create Pending Publication Report

  1. Go to the “Research Admin” tab and select “Basic Reports”.
  2. Check the box next to your division in the “Groups list”.
  3. In additional filters, select the non-current users and non-academic users. 
  4. From the “Users, usage and summary reports” drop-down, select “Publication Approval Counts” and “Get Report”. 
  5. You will be prompted to open or save the Publication Approval Counts report.  Select “Open”. 
  6. Use the Pending column to begin identifying profiles that still need to claim or reject publications.
    Remember, if a person left the institution mid-year the DPOC or delegate will need to claim any publications to be included in the Research Annual Report as possible selections for the fiscal year. If the name does not show up in 'Impersonate another user' check the box 'Include inactive users'.



Create a List of Active Users in the Division

  1. Log in to Symplectic Elements.
  2. Go to the Research Admin tab.
  3. Under Reporting click Basic Reports.
  4. In 1. Select users and/or groups under ii Groups: check the box next to your Division.
  5. Skip down to 3. Select and generate data extract or report, ii.
  6. Next to Report select Publication Approval Counts.
  7. Click Get report.

    An Excel sheet will open based on your active users.

Send an Email Reminder

A DPOC can send members of their division emails from Symplectic Elements email to remind user's to claim or reject pending publications. 

  • Login to Symplectic
  • Click 'Impersonate the user' and find the name of the person with pending publications
  • Scroll to the bottom of the page section 'Administration'
  • Click on Send a reminder email button
